The Administration Officer (AO3) is a vital role within the Business Services, Facilities Team , supporting day-to-day operations and assisting with key administrative tasks, financial processing, and customer service. The position will provide essential support during the incumbent’s transition into retirement, as well as assist in the onboarding process of new Program Operations Staff. The successful candidate will play a significant role in ensuring the continued high-quality service delivery of the program, focusing on invoice verification, correspondence handling, and administrative support to maintain operational efficiency. Key Responsibilities: Prepare General Purpose Vouchers (GPVs) and verify invoices for approval. Assist with financial documentation, invoice report scrutiny, and data correction. Monitor mailboxes and respond to client queries regarding administrative, procurement, and policy matters. Provide timely advice to program staff on procedures and corporate standards. Perform accurate data entry and maintain records in line with business standards. Process payments and customer bank details in the financial system. Provide administrative support, including filing, photocopying, and managing mail. Assist with the development and training of administrative procedures and systems. Essential Requirements: High-level skills in MS Office and data entry. A current criminal history check. Excellent communication skills, both verbal and written, with the ability to interact with internal and external stakeholders professionally. Highly Desirable Requirements: A valid open driver’s license. Experience in financial documentation preparation and invoice processing.
