Your Role at St John of God Subiaco Hospital You will provide a high degree of administrative, secretarial and project support and assistance to Medical Services and the Director Medical Services. You will provide support in the areas of recruitment and onboarding, payroll, leave relief, term allocation, rostering and education of Junior Medical Officers. Maintains registers and databases for auditing and compliance purposes. The Position Provides administrative support to Director of Medical Services and other administrative duties as required. Provides a professional secretarial service to Medical Services and associated committees, including producing and circulating agendas, minute taking, filing and record management. Coordinates meeting arrangements including technical, catering and documentation requirements. Enters, updates and maintains filing and information systems, including Junior Medical Officer (JMO) details in medical administration databases, e.g. JMO Database, WebPAS, email distribution lists. Prepares Statement of Service Letters and Employment Verification Letters. Supports the Medical Education Registrar in facilitating JMO education programs and subsequent data collection when required. Coordinates end of term JMO events and provides support to coordinating award nights, JMO orientation and term changeover. Provides support to PMCWA accreditation and compliance activities and the monitoring of mandatory competencies. Identifies process deficiencies and implements approved improvement initiatives. Supports and undertakes special projects when required and as directed. Provides support to Medical Workforce Officer regarding all aspects of recruitment, appointment, on-boarding and separation of JMOs, as required. You will have high level experience in an administrative role with excellent organisational and time management skills including the ability to organise tasks and set priorities, work effectively under pressure and meet multiple deadlines with minimal supervision. You will have experience developing written reports, minute taking and other business correspondence with a high level of attention to detail and professional presentation of work. To succeed you will have advanced word processing and computer literacy skills with experience using Microsoft Office suite. The ability to communicate effectively with internal and external stakeholders and maintain strict confidentiality is essential.
