Then we should talk About the Role : We’re looking for a tech-savvy Administrative & IT Support Specialist to streamline workflows, manage projects, and handle admin tasks, freeing up the manager’s time. This role focuses on systems, processes, marketing and IT to boost team productivity. This is a 6-month contract role with the potential to become permanent based on performance and business needs. Responsibilities: Inbox & Calendar Management: Organise and prioritise the manager’s inbox, ensuring timely responses. Schedule meetings, manage calendars, and handle scheduling conflicts. Project Management & Marketing: Assist with email marketing campaigns, ensuring effective communication and audience engagement. Support marketing and content creation efforts by optimising workflows and providing administrative assistance. Assign tasks, set deadlines, and monitor progress across team projects. Lead meetings with clear agendas, action items, and follow-ups. Systems & IT Management: Maintain and troubleshoot platforms such as swim school booking system, Notion, Shopify, WordPress software and our website updates. Collaborate with team members to optimise workflows and support the Customer Service Team. Process & Workflow Optimisation: Document and improve internal processes to enhance productivity. Create and maintain organised systems for information and task management. General Administrative Support: Assist with ad-hoc tasks, including file organisation, data entry, and reporting. Requirements and Qualifications: Over 5 years of experience in administrative and IT support, including inbox/calendar management, meeting coordination, systems and processes management, and marketing. Relevant education in administration, IT support, or a related field. Proficiency in managing websites, Notion, Shopify, and WordPress is essential. Experience with design tools like Canva or Photoshop is a plus. Strong organisational skills with a focus on optimising systems and processes. Excellent written and verbal communication skills. Self-motivated, detail-oriented, and capable of managing multiple priorities within deadlines.
