The successful candidate will provide administrative support to the Pathology Queensland Mackay Laboratory and to gain working knowledge in all services provided by the Administration team. Your key responsibilities Achieve work targets with limited supervision and contribute to team goals in a changing environment. Effectively communicate with customers and demonstrate understanding, empathy, patience, and a positive service focus to provide optimum patient care and service delivery. Promote good public relations with the general community and both internal and external customers of the Mackay District Health Service. Operate with a high level of autonomy, whilst providing an effective, efficient, and comprehensive administrative support service to the Pathology Queensland Mackay Laboratory. Assist with committee and staff meetings, minutes and agendas, teleconferences, and videoconferences. Contribute to the effective financial management of the laboratory by processing stock orders, invoices, staff claims, journal vouchers and arranging authorised delegate approvals. Participate with Pathology Mackay Laboratory call centre. Contribute to the purchasing function of the laboratory by raising requisitions and reservations via SAP (S4/HANA) / WINC, monitoring stock levels, management of incoming stock and responsible for Asset management for the Mackay Laboratory. Assist with other administrative ad hoc duties including, data entry, HR & payroll tasks, and supporting laboratory manager, as required, to maintain an effective and efficient pathology service. Contribute to the Mackay Laboratory team by working co-operatively and communicating effectively with the team and with clients, both internal and external to the laboratory. Contribute to business initiatives and service improvement activities in line with Department of Health Strategic Plan and monitor the implementation of these within the pathology service. Perform all quality duties relating to the role including document control, record keeping, and appropriate use of internal quality control systems. Collect and collate laboratory statistics to assist laboratory supervisors and laboratory manager. Support completing Quality and Financial reporting requirements. Support the Laboratory Manager in ensuring compliance of the pathology service with National Association of Testing Authorities (NATA) 15189 accreditation and International Standardisation Organisation (ISO) 9001:2000 certification requirements. Key competencies (role specific criteria) You will be assessed on your ability to demonstrate the following: Demonstrated high level skills, or the ability to rapidly acquire high level skills, in the use of Microsoft Office applications, the laboratory information system (AUSLAB), Winscribe and other enterprise applications including SAP (S4/HANA). Demonstrated experience in a range of administrative and support functions in relation to the key responsibilities of this role. Ability to understand and respond appropriately to customer expectations / needs within a multidisciplinary team environment. High level analytical and problem-solving skills for the effective management of information systems in health settings. High level interpersonal and communication skills including negotiation, conciliation and well-developed written skills. Awareness of and ability to develop, apply and adhere to organisational policies, procedures, guidelines and Queensland Health core values.
