About the Role As the Administration Coordinator in this dynamic role, you will provide support to senior leaders across multiple business ventures. You’ll split your time between supporting a project team delivering development projects, assisting with personal office tasks, and contributing to key business operations. Collaborating closely with team members, you’ll manage a blend of administrative tasks and personal responsibilities. This is a unique opportunity to strengthen culture and engagement within a prominent family business network. Duties Calendar and Meeting Coordination: Oversee and manage the executive’s calendar, scheduling appointments, meetings, and events to ensure efficient time management and avoid conflicts. Travel and Personal Assistance: Handle domestic and international travel arrangements, including flights, accommodations, and itineraries. Additionally, assist with ad hoc personal matters such as motor vehicle needs, home maintenance, and family events. Financial Administration and Record-Keeping: Process and track invoices, maintaining comprehensive records for review and approval. Ensure proper bookkeeping and assist with the administration of investments, managing correspondence with investment managers and other professionals. Culture and Engagement Support: Assist with the execution of Culture and Engagement initiatives, including organising meetings, taking minutes, and following up on action items. Support the Growth and Engagement Manager with logistics for the annual family retreat and other key events. Project and Office Administration : Assist with the administration of various projects and office tasks, collaborating with key team members, managing documentation, and maintaining accurate registers and files to ensure smooth operations and efficient workflow. Skills and Experience Exceptional organisational abilities with a strong attention to detail, ensuring all tasks and projects are meticulously managed. Ability to manage conflicting time and activity demands, prioritise tasks, and meet deadlines effectively while maintaining efficiency. Skilled in navigating and prioritising relationships, balancing administrative duties while effectively engaging with key stakeholders. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with strong written and verbal communication skills. Familiarity with property development and leasing, and experience in event coordination or project management is an advantage.
