Job Title: After Hours Administrative Assistant Location: 115 Magnesium Drive, Crestmead Hours of Work: 3:00 am - 7:00 am, Monday - Friday Reports To: Managing Director - Kristen Woodfield Job Summary: We are seeking a dedicated and detail oriented After Hours Administrative Assistant to join our team. This role is crucial for ensuring the smooth operation of our administrative tasks during early morning hours. The ideal candidate will be responsible for preparing daily reports, updating systems, and handling various administrative duties. Key Responsibilities: Print Rosters: Print the roster for each Metcash pillar daily, preferably at the end of the shift for the next day. Prepare Daily Email Attendance Reports: Use provided templates to prepare and send daily email attendance reports. Follow the format: RWF - Attendance Report - Department - Date - Time update (e.g., RWF - Attendance Report - ALM - 01.01.2025 - 3:00 am Update). Attach Scanned Documents: Attach all scanned documents sent during the day to Bullhorn. Update Systems: Continuously update Bullhorn and Tanda data as tasks are completed. Report Concerns: Report any major concerns to the Managing Director, Kristen Woodfield. Follow Assigned Tasks: Complete any additional tasks assigned by the Managing Director. Complete Other Sites Afterhours: Ensure all after-hours tasks for other sites are completed. Send Daily Absentee Report: Send an Excel report of absent workers for the day. Qualifications: Strong attention to detail and organizational skills. Proficiency in using administrative software such as Bullhorn and Tanda. Ability to work independently and manage time effectively. Excellent communication skills, both written and verbal. Previous experience in an administrative role is preferred.
