About the position The position supports the administrative requirements of the MLC School Music Department. In this role you will be responsible for covering the Music Department's reception area, managing financial aspects relating to staffing across the Music Centre, supporting peripatetic staff and processing enrolments of private lessons, as well as a range of other administrative duties. Key accountabilities: Managing the day-to-day functioning of music office (maintenance requests, health & safety concerns, emergency procedures, student locker allocation). Managing enquiries, answering telephone enquiries, arranging meetings and travel bookings. Preparing a range of operational reports. Updating the music timetable and maintaining the music calendar, co-curricular ensemble lists, and room bookings. Communicating and liaising directly and frequently with students, teachers and parents via telephone, email and face to face interaction and responding to enquiries where appropriate. Responsible for a range of financial aspects relating to staffing across the Music Centre. Including but not limited to; the process to pay claims for casual staff, preparing purchase orders, processing invoices and credit card payments. Processing enrolments, liaising with the Heads of Strings, Bands and Keyboard regarding teacher allocation, instrument hire and enquiries, coordinating reports, updating staff and student handbooks. Supporting music staff in organising scholarship auditions and running concerts and events. Selection Criteria: Extensive experience in general office procedures, including minute taking and report writing and other letter writing. High attention to detail and accuracy. Advanced knowledge in Microsoft Suite in a MAC environment. Excellent communication skills. Experience in using (or ability to rapidly develop skills in using) school database and reporting systems A well-developed capacity to manage the complexity and diversity of the role Demonstrated ability to exercise a high degree of confidentiality.
