An interesting Property Admin / Team Admin role within a successful Property Investment company, available on a part-time or full-time basis Benefits Permanent role, working 4 or 5 days per week (pro rata) Paying $77,500 - $85,000 per annum super bonus (for a full-time staff member) Location: Artarmon, North Shore Staff parking is available onsite Working hours: 8.30am – 4.30pm daily Company Our client manages a substantial valuable portfolio of owned and leased property assets across Australia and NZ, which are used for both investment and business use. The business is a successful Australian family business who operate across property acquisition, development, building and construction works. The Role As the ‘Property Administrator’ you will liaise with internal staff and external stakeholders such as contractors, tenants, suppliers, customers and business partners. The property team includes a General Manager, Acquisitions Manager, National Property Manager, Property Manager, National Property Administrator, National Construction Manager, 3 Project Managers, Facilities Manager and the Finance Team (3 people) all overseen by the CEO. Team Administration Tasks Where required, be the first point of contact for communication by phone and face-to-face for all tenants, suppliers, contractors, employees and the family Managing an inbox for the construction team and ensuring a timely correspondence for the repairs and maintenance across the network Preparing agendas, taking meeting minutes, and actioning items for re-occurring meetings Drafting correspondence to tenants/contracts Supporting all team members across Property Management and Project/Construction Management with diary management including arranging travel, accommodation and meetings Ensuring all office and kitchen supplies/technology and workspaces are maintained weekly Assist stakeholders such as the C-Suite EA and Property EA, with the collation of board reports on a quarterly basis Provide support when required with event management for the office including board meetings, annual regatta day, charity workdays Property Administration Tasks Supporting the team in the capital expenditure and budgeting process, with monthly monitoring Administering invoices for the team to assist with prompt coding & payments Editing and proofreading proposals, basic contracts, presentations, letters and reports Preparing inspection reports & following up any action items Maintaining the Master Inspection Schedule, the Bank Guarantee registry and the Insurance register Assist with Property Management as required, including arrears collection Assist with Lease Administration as required, with obtaining signatures for documents, Consent Authority Forms and the processing of power bills and rental bills Assist with administration of construction projects, when required Updating of all databases including YARDI & BASEPLAN, ensuring the data integrity and liaising with the external host on any issues Providing regular updates to the team and arrange training on systems, as required About You We are looking for a hardworking individual with a good sense of humor, who has a genuine interest in the property industry. To be considered, you will: Have >3 years’ experience with team administration or property administration Have qualifications across either property, finance or business (highly preferred, but not mandatory) Be highly skilled across Microsoft Word, Excel PowerPoint and Outlook Have strong administrative skills, with demonstrated experience in the preparation of correspondence and presentations Have a high level of communication skills, including the ability to interact with a broad range of internal and external stakeholders Quickly adapt to new technology/systems and comfortable learning new systems Maintain a high work ethic and act with integrity at all times Actively show a team-oriented attitude in the workplace Apply Now
