Your Role The newly created position of Executive Administrator will work exclusively for one of the clients and in close proximity with the Executive Group. Reporting to the Operations Manager you’ll have a very dynamic and demanding job, and utilise your excellent client services skills together with your accounts processing skills. Daily duties include; Liaising closely with corporate client representatives and internal stakeholders Preparing payroll for one Depot and the usage of Excel for approximately 50x staff Providing financial data to the accounting team in a prompt, efficient and accurate manner Raising invoices for the client ranging up to $700K with volumes varying each month Reporting functions for the client on KPIs, Payments and Invoices Working closely with Transport Administrators and Supervisors to gain accurate data and cross checking where required to ensure less lead time for the customer Maintaining Client Portal and log ins whilst managing communication with vendors & site staff to ensure access to systems runs smoothly Providing Administration support to the client and where required, feeding that through the existing Administration systems within the Transport Company Working closely and as part of a wider team including Operations Management, Executives, Warehouse Personnel and Customer Services Participate in workplace meetings, client meetings and general staff meetings as required Keeping control of paperwork with correct information and data at all times Other Details The position is a full-time permanent role, Monday to Friday with occasional out of hours contact due to the nature of the industry. You will have access to some of the industry’s most progressive training and development systems and the possibility of career growth and the business continues to progress. The remuneration guide is $80-90K and is located near Port Adelaide. About You You have 5 years’ experience in Office Administration with exposure to the Executive Team, Accounts, Payroll or Finance departments Ideally, you are currently working in a Transport, Logistics or Warehousing environment You have confidence in Accounts tasks and seamlessly fit into a financial driven environment Sound MS 365 skills including Excel and various accounts software A deep-seeded passion for reflecting safety guidelines throughout your work and the work of others in your team The desire to go above and beyond for clients The availability and willingness to undertake client demands with a smile What to do now To register your interest in this dynamic position, submit your current confidential CV via the application link.
