An exciting opportunity is now available for a Project Administrator role within the Minor Vessels (MV) Capability Lifecycle Manager (CLCM) program based at Henderson WA. Reporting to the MV CLCM Business Team Lead and liaising with OPV & Hydro SPO Business Teams the MV CLCM Project Administrator is accountable for supporting the MV CLCM team with all administration tasks and interfacing with the Customer through the respective SPO Business Teams. Key ResponsibilitiesSpecific responsibilities include, but are not limited to, the following: - Provide general administrative support including booking meetings, managing the project diary, and ensuring day-to-day operation of general office resources. - Process invoices and ensure timely payment to suppliers. - Create and manage a project data repository for each project that fits within, and is fully aligned to, the broader Sustainment Services Data Management System and contractual requirements. - Control and record formal deliveries of project documents, including approved updates and amendments, to relevant stakeholders. - Be the Site Security Officer. - Assist in the development of data management plans that are consistent with overall program data management and approval requirements. - Create and maintain project registers for formal correspondence, action items and meeting reports. - Coordinate the cyclic annual review and update of Project Management System procedures by process sponsors. - Coordinate and compile reports and briefing packs and construct simple databases, spreadsheets, diagrams and PowerPoint presentations as required. - Travel within Australia may be required to fulfil the requirements of this role. - Other duties as deemed relevant to program and operational requirements and within the technical competency of the position. - This position will operate within a matrix organisation and may be embedded within a project or program. Therefore, it is expected that if this position has a matrix reporting line through to a Function, the position incumbent will adhere to appropriate discipline-specific standards and processes Skills, Experience and Qualifications Essential: - Minimum of 4 years prior relevant experience. - A broad knowledge of operational systems, including SharePoint, and practices, gained through extensive experience and/or education, is required. - Demonstrated experience in a coordinating role within a project-driven, Defence oriented environment. - The ability to gain and maintain an NV1 Clearance. Desirable: - Certificate III in Business Administration - Experience in preparation of presentation material and reports. - Experience in data management. - Experience within Defence maritime environment.
