About Our Client Our client is a specialist independent property agency focused on the Australian Retail Property market. They pride themselves on aligning with their clients’ objectives and providing expert services in management, leasing, acquisition, divestment, and asset repositioning in this sector. The Opportunity A rare opportunity has arisen for a full-time Property Administrator to join our client’s team, based onsite at a Shopping Centre in south-west Sydney. Tasks & Responsibilities Distribute monthly tenant rental invoices in a timely manner. Review and process rental charges, reviews, and increases. Collect monies, including rent and outgoings. Raise work orders for contractors upon instruction by the Facilities Manager and manage compliance. Process and approve supplier invoices for payment by the Financial Controller. Coordinate and collect monthly retailer sales turnover/annual audited sales certificates and provide commentary. Collect tenant and contractor public liability insurance. Provide general lease administration and support to the Centre Management team. Prepare monthly reports with commentary on variances to budget. Maintain tenant and landlord relationships, professionally representing Centre Management. Handle enquiries from tenants, customers, internal teams, clients, and contractors. Perform general office duties, including answering phone calls, managing front desk enquiries, and maintaining office supplies and tidiness. Qualifications & Experience 2 to 3 years of administrative experience within the property sector. Financial exposure and experience in the retail shopping centre industry are highly beneficial. Intermediate computer skills. Strong attention to detail. Financial acumen, including proficiency in Excel and the ability to reconcile tenant accounts. Participation in forecasting and the annual budgeting process. Effective organisational skills. Strong communication and customer service skills, with problem-solving ability. Internal and external relationship management skills. A Real Estate License or Certificate of Registration would be highly regarded. Experience with lease administration systems, preferably Cirrus8. A motivated self-starter with the ability to take ownership and prioritise workload to meet deadlines.
