Our opportunity As Administration Assistant , you will provide critical operational and administrative support to the Mirvac Design Project Teams and Administrative Manager. This role ensures the efficient execution of deliverables, supports key projects, and fosters a high-performing and collaborative culture within a dynamic and fast-paced environment. Note: This is a permanent, part-time role offering 3 days of work. You will be required to work from the office 2 days per week. Your responsibilities will include: General Administration: Invoice processing using Yardi and assisting with Staff expense claims via Concur. Supporting project teams with resource reporting, budgeting, and maintaining documentation/registers as required. Updating project registers and documents based on input from project leads. Financial Administration: Preparing monthly progress claims (for external projects) Assist with reconciling monthly Project related design fees. Support RIBCX project costing and financial tasks for efficient project delivery, and Assist with staff efficiency reporting, Leave and recovery reconciliations. Team and Stakeholder Support: Assist team members with timesheet submissions, monthly project budget reconciliations, and preparing project-related forms. Manage and submit various staff and project-related forms as required. Provide support to the Project Architect with monthly design fee reconciliations and additional administrative duties. Reporting and Communication: Prepare presentations, documents, and internal communications on behalf of the Administrative Manager. Liaising with stakeholders across different levels of seniority to ensure clear communication and smooth project coordination. Collaboration: Promote effective collaboration across teams and departments, maintaining a proactive and professional approach to tasks. Your point of difference We are seeking a highly motivated and organised individual with prior experience in a high-volume administrative or accounting role. You will have a proven ability to manage conflicting priorities efficiently. Experience with month-end project reconciliation processes and general ledger tasks is essential. The successful candidate will demonstrate exceptional time management and organisational skills, with a keen attention to detail. The ability to multitask, adapt to change, and remain resilient under pressure is crucial. Strong written and verbal communication skills, along with excellent interpersonal abilities, are key to ensuring effective collaboration within the team. A willingness to learn and provide innovative solutions is essential, as we encourage continuous improvement within the team.
