Core Purpose of the Role The core purpose of the HR & Office Administration role is to support the delivery of exceptional services to clients by ensuring efficient and high-quality administrative and HR support. Reporting to the Program & Admin Coordinator, the role is pivotal in maintaining smooth office operations, managing HR functions, and providing excellent customer service to both internal and external stakeholders. Key Responsibilities: Scheduling: Ensure all logistics are arranged smoothly for both internal and external events. Manage scheduling, travel bookings, and preparation of materials. Online eLearning Administration: Handle enrolments, provide support, and manage the administration of the eLearning platform. Accounts Administration and Support Perform accounts administration and support such as reconciliations, updating receipts, processing claims, and managing client invoices. Use software for generating invoices. Coordinate with contractors, including travel arrangements and ensuring they have the resources they need. General Administration: Provide general administrative support. Follow all company policies and workplace practices, including workplace health and safety guidelines. Manage data flow and ensure all processes and guidelines are followed, particularly within the Employment Hero system. Required Competencies: Strong customer service mindset with excellent attention to detail. Proficiency in general administrative tasks. Experience in scheduling and administration support. High level of discretion in handling sensitive information. Technical Knowledge: Proficiency in MS Office Suite Tech savvy Experience with Employment Hero and XERO would be advantageous. Experience: Proven experience in office administration, HR and accounts support. Experience working within a team-oriented, purpose-driven environment. Communication: Excellent communication skills, with the ability to interact effectively with both team members and clients. Attention to Detail: Demonstrates a strong commitment to quality and attention to detail.
