Life Saving Victoria (LSV) is Victoria's peak water safety and lifesaving organisation built on the proud legacy and programs of our founding organisations, the Royal Life Saving Society – Australia and Surf Life Saving Australia. We are excited to offer an incredible full-time opportunity for a proactive and enthusiastic Administration Officer to join our Volunteer Training team at Life Saving Victoria's Port Melbourne Head Office. Reporting directly to the Coordinator – Volunteer Training, this role is key to providing exceptional customer service and delivering efficient administrative support to the Lifesaving Volunteer Support team. As an Administration Officer, your key responsibilities will include, but are not limited to: Providing timely and efficient administrative support to the Lifesaving Volunteer Support team, including data entry, matching, and cleansing of key operational databases to ensure system continuity. Managing filing, archiving, and documentation processes to ensure compliance with all relevant standards. Assisting with the preparation of reports in line with compliance regulations. Issuing award and qualification certificates and distributing course materials to volunteers and clients. Responding to volunteer and client inquiries with exceptional customer service to ensure their needs are met and exceeded. Building and fostering positive relationships with volunteers, clients, and staff to support a collaborative and supportive environment. Collating and disseminating key reporting information as needed to ensure smooth operations. To be successful in this role you are an experienced Administration Officer, with strong organisational skills and a continuous improvement mind-set. You will be an exceptional communicator who is comfortable communicating at all levels. You will have excellent time management skills with the ability to multi-task and prioritise. Your enthusiastic, approachable, and can-do attitude will be the basis of your success in this role. Strong customer service or club development experience Strong IT knowledge and capabilities with the ability to learn new IT systems as required, and work with others to improve their capabilities, Good stakeholder engagement experience, including demonstrated experience continuously improving relationships and outcomes with stakeholders. Experience working autonomously and under pressure, in an environment requiring trouble shooting and a solution-oriented focus.
