ABOUT THE ROLE NPS seeks a dedicated, and proactive Contract Administrator for our Maintenance Division to support the scheduling and management of multiple contracts in Melbourne's north east. Located at our office in Keysborough, this dynamic role specifically involves managing work schedules for field employees in a fast-paced environment. Your responsibilities will include, but not be limited to, supporting the allocated Contract Manager in maintaining project statuses efficiently and scheduling field staff effectively to optimise productivity. Additionally, you will be tasked with documentation control, overseeing the process from job creation and work order forms to project completion sign-off and handover to accounts. Main duties include: Supporting the Contracts Manager in monitoring, controlling, and managing work orders and job requests. Daily management of work schedules. Liaising with clients and plumbers to prioritise and schedule jobs. Establish and maintain processes and procedures for scheduling department in consultation with management. Ensure all employee and sub-contractor records are maintained accurately, efficiently and in a timely manner. Data entry and reporting. Complete jobs-management and invoicing requirements. Assisting with the processing of quotations. Always ensure maximum office discretion and confidentiality. Must have the ability to negotiate and deal with challenging people at times. ABOUT YOU We're seeking for an energetic Contract Administrator and job scheduling professional. Someone who thrives on getting stuff done by collaborating and working together. If you're proactive, driven, and eager to make a difference, we want you on our Maintenance Team Working within a busy team you will need to possess: Exceptional customer service and communication skills. Ability to be flexible, and supportive of others and clients. Ability to multi-task and prioritise effectively. Ability to problem solve and provide information in a timely manner. Excellent attention to detail. Experience with Microsoft Office Suite of Applications Experience with Aroflo – our Project Management System (highly regarded). Previous scheduling experience (highly regarded) Construction or plumbing industry experience, highly regarded, but not a deal breaker. Knowledge of Metro and Regional Melbourne areas.
