About This Opportunity The position works within the fast‐paced and customer focused Faculty of Science Student Administration Office at the St Lucia campus. The primary purpose of this position is to provide high‐level support to the Team Coordinator (St Lucia) in coordinating the timely and accurate completion of a range of student applications and processes. The position will be responsible for the maintenance and streamlining of processes, while ensuring procedures are updated routinely. The position will assist the Team Coordinator (St Lucia) with training, workload management, delegation of tasks and monitoring of progress for a variety of student administration tasks. The position will also assist with preparing and responding to requests made to the Associate Deans (Academic) on a range of student matters. The successful candidate must be self‐motivated, use initiative, and be flexible in adapting to tasks as delegated by the Team Coordinator (St Lucia). While this position is primarily based at the St Lucia campus, some travel to Gatton and other Faculty locations may be required. Key responsibilities will include: Student and Stakeholder Support : Provide timely, accurate advice and assistance to students, staff, and stakeholders within the framework of University policies, Faculty guidelines, and relevant legislation. Team Guidance and Issue Management : Support the Team Coordinator by guiding and training Administration Officers, addressing complex enquiries, and identifying, monitoring, and escalating risks and issues with thorough investigation and recommendations. Process Improvement and Documentation : Review and enhance procedures to ensure effectiveness, draft correspondence for senior staff, and maintain accurate information in University systems and publications. Collaboration and Representation : Liaise with colleagues across Faculties and Central Administration on student and academic matters and represent the Faculty and University at various engagement activities and events. Reporting and Administration : Prepare, analyze, and interpret reports from information systems, and provide secretarial support for meetings, committees, and working parties as required. This is a full-time fixed-term position for 12 months at HEW Level 6. About You Completion of an undergraduate degree with subsequent relevant experience in student administration or an equivalent combination of relevant experience and/or education/training. Detailed knowledge of the University’s policies and procedures as they relate to student and academic administration. Demonstrated knowledge of the student life cycle from admission to graduation for both undergraduate and postgraduate students. Demonstrated experience in the use of enterprise administration systems to source and record data and deliver reports. Well-developed analytical skills and attention to detail to enable accurate interpretation and advice on a range of complex matters. High level interpersonal, written and oral communication skills, including the ability to effectively establish and maintain key stakeholder relationships and work collaboratively in a team environment. Demonstrated commitment to and enthusiasm for the provision of excellent client service. High level organisational skills, including the ability to meet deadlines under pressure. High level of proficiency in Microsoft applications and experience with student information systems. Ability to review procedures and implement change.
