About the Role : We are seeking an External Communications Admin Assistant, Location –THQ Redfern, NSW for a Full-Time- Permanent opportunity. Purpose of the Role: To provide administrative support to the External Communications Manager for the successful delivery of diverse Communications portfolio functions in NSW. This role will be required to develop and manage relationships with a number of key internal and external stakeholders and must maintain high levels of confidentiality and professionalism at all times. Key Roles and Responsibilities: Support Provide administrative support to Head of External Communications to ensure the effective management of the External Communications office, schedule and workload. Coordinate daily business by regularly reviewing diary, emails, meeting and travel demands and identifying and resolving potential issues. Develop a range of reports, correspondence, documents, proposals and presentations to support the External Communications Manager Administration Co-ordinate meetings, workshops, and committee meetings Assist with communications to Corps (Churches) for reporting and reconciliation and fundraising campaigns Act as liaison between External Communications office and Donor Care Services Manage a range of financial processes including expenses, payroll, invoices etc. through Service Now to support the manager and the function and assist with banking requirements. Supplier and general finance queries are responded to and actioned as required. Maintain levels of promotional materials and office supplies. Maintain records and filing systems and data entry Provide administrative support for Corps (Churches) and External Communications office in Self Denial Appeal processes Conduct other support and administrative activities as required Undertake a range of general office administration to ensure the smooth running of the office and function. Stakeholder Engagement Maintain and enhance relationships with internal and external stakeholders. Build rapport with visitors to the External Communications office. Liaise and coordinate meetings, visits and special engagements with stakeholders as requested. Collaborate effectively with other executives, staff and EAs to ensure meetings and events are well planned. Experience and Qualifications : Certificate III in Business Administration (or equivalent) or demonstrated relevant experience, knowledge, and skills. Studies or relevant experience in Public Relations would be highly regarded. Significant demonstrated experience, knowledge, and skills in administration management. Excellent communication skills, both verbally and in written correspondence, with high-level writing skills, including editing, proofreading, and minute-taking, and the ability to prepare, check, and edit documentation with a high degree of accuracy.
