Description Type: Fixed-term (12 months) Part-Time ( 4-5 hours of work per day, five days a week) About the Role: The Maintenance Administrator will handle daily administration, coordination, job allocation, and preparation to enhance the efficiency of the Maintenance team. Responsibilities include: Prioritize and allocate tasks in collaboration with the Maintenance Manager. Organize the availability of tools and materials for the Maintenance team to ensure successful job execution. Communicate status updates to internal stakeholders affected by repairs or projects. Maintain the Folio Work Management system. Liaise with the Finance team regarding invoice payment approvals. Manage data entry and record-keeping relevant to the team's function. Seek quotes and conduct product research for new projects according to Warrah guidelines. Conduct regular stock takes of tools and consumables, managing an inventory of frequently used materials. Maintain maintenance registers, including Contractor information, Material Safety Data Sheets (MSDS), Safe Work Method Statements (SWMS), and various Asset registers. Serve as the point of contact for maintenance-related inquiries and requests. Manage contractor engagement, ensuring all contractors are checked in and out, have the correct paperwork, and are inducted properly. Assist the Property and Maintenance Managers with Internal Property Committee meetings and monthly management reports. Drive continuous improvement by seeking innovative solutions to enhance practices and processes. Skills And Experiences The following experience, skills, and attributes are important for success in this role: Minimum of 2 years’ experience in the building, construction, or maintenance industry. Strong organizational, administrative, and time management skills, with the ability to prioritize tasks effectively. A strong work ethic, attention to detail, and pride in completing work to a high standard, with the ability to work independently and follow instructions. Awareness of workplace health and safety principles, including the care and safety issues related to tools, equipment, chemicals, and electricity. Ability to communicate and cooperate effectively with internal and external stakeholders, including tradespeople and suppliers. A positive mindset and flexibility to adapt to a constantly changing environment. Strong computer skills. Working With Children Check. NDIS Worker Clearance Check. Full NSW Driver’s License. Additional Desirable Competencies: Technical drawing (hand or CAD) skills. Knowledge of landscaping, gardening, bush care, or farming. Automotive knowledge. Benefits: Competitive salary.
