We are seeking a dynamic and dedicated Administration Support person to join our Brisbane team. About the Role : This is a full-time position responsible for providing high-level administrative and operational support to ensure the smooth functioning of our services. You will work closely with our allied health professionals, clients, and management team, playing a vital role in supporting day-to-day operations, client service management, and NDIS processes. Key Responsibilities: Provide comprehensive administrative support to the Billy Cart Behaviour team, including answering phones, managing emails, and coordinating calendars. Assist with scheduling appointments, client onboarding, and communication between clients, families, and staff. Maintain accurate client records in compliance with NDIS and company standards, ensuring data integrity and confidentiality. Process NDIS-related documentation, including service agreements, consent forms, and reports. Use Splose to manage invoices, NDIA/PACE claims, and coordinate financial documentation. Provide support with invoicing, processing payments, and following up on outstanding payments. Assist with the coordination of internal meetings, workshops, and training sessions. Maintain office supplies, assist with equipment and IT troubleshooting, and perform general office duties. Provide backup support to the finance team as required. Collaborate with other team members to continuously improve administrative processes and workflows. Skills and Experience Required: Previous experience in an administrative role, ideally within the healthcare or NDIS sector. Familiarity with NDIS frameworks, service agreements, and claims processing (desirable but not essential). Strong organisational skills and the ability to manage multiple tasks and priorities in a fast-paced environment. High level of accuracy and attention to detail, particularly in data entry and financial processes. Excellent communication and interpersonal skills, with a customer-focused approach. Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and practice management software (Splose experience is a bonus). Ability to work autonomously as well as collaboratively within a team environment. Problem-solving mindset, proactive, and willing to take initiative.
