The Sovereign Hill Museums Association is a not-for profit community-based organisation that includes: Sovereign Hill Outdoor Museum, Sovereign Hill Hotel, AURA and Narmbool, the Australian Centre for Rare Trades and Arts and the Australian Centre for Gold Rush Collections. It cares for a nationally and internationally significant collection of over 150,000 objects and protects the tangible and intangible cultural heritage of the Victorian gold rush. We are an Australian tourism icon that attracts some 500,000 visitors annually. The Outdoor Museum is internationally renowned as a living museum featuring rare trades, and programs and experiences that interpret a pivotal point in Australia's history. In all, some 350 staff work to bring our gold-rush story to life. They are supported by over 250 volunteers. The Sovereign Hill Museums Association is currently investing heavily in financial and administration systems, including recent and upcoming new systems and system improvements, to drive continued improvements in customer experience and financial performance. We are seeking an experienced individual work within our Financial Administration Team in this newly created role to support the timely, effective and efficient administration of systems which include ticketing ( ticketing (BOS), hotel (RMS), CRM (Salesforce), and other essential systems as required. This position involves close collaboration with teams that rely on these systems and the application of a continuous improvement focus to enhancing both internal and external customer experience. Job tasks and responsibilities Systems Administration Oversee the administration of SHMA's Ticketing, Hotel Management, CRM, and other systems to ensure efficient operations for staff and customers. Lead the creation and management of tickets and products, setting timelines, managing revenue, and enhancing reporting capabilities to meet Sovereign Hill's needs. Actively participate in internal and external forums to provide guidance, identify user needs, and implement system design changes. Drive enhancements to maximize system functionality, collaborating with departments for seamless integration. Ensure timely delivery of system reports and data focusing on revenue, visitation, marketing insights, and demographics. Address system integration and data transfer issues as needed. Engage in forums to resolve administrative system issues. Maintain strong relationships with external system vendors and collaborate with the SHMA Head of ICT for system improvements. Work with the ICT team to ensure reliable maintenance and timely upgrades of software and hardware systems. Provide regular, comprehensive training for system users, maintaining up-to-date training materials. Develop and maintain business rules and procedures for system administration and operation. Financial Administration Complete relevant transactions before revenue recognition. Manage accurate and compliant automated financial journal postings. Enhance automated data reporting, including in Microsoft BI. Perform manual financial journal postings as needed. Regularly conduct financial reconciliations to ensure account accuracy. Understand team roles thoroughly to provide support during peak times and absences. Qualifications Relevant tertiary qualifications preferred. Knowledge and skills Previous experience in the design and front-end administration of Ticketing, Hotel, CRM and / or other Financial and Administrative systems. Experience with BOS, Navision, RMS and/or Salesforce would be beneficial. Demonstrated experience in learning and applying skills in the use of Financial Management Information Systems. Demonstrated experience in developing and implementing operational procedures and staff training programs. Display strong attention to detail. Excellent communication, teamwork, problem solving and interpersonal skills. Demonstrate a strong sense of responsibility, be well organised and be able to prioritise tasks.
