About North East Link The Spark Consortium has been selected to deliver the Central Package of the North East Link Project - Victoria's biggest road project. The Spark Consortium’s Design and Construction Contractor - which comprises Webuild, CPB Contractors, GS Engineering and Construction and China Construction Oceania - will deliver the twin three-lane tunnels and key interchanges for the project. The Central Package will be delivered as a Public Private Partnership and provides three-lane twin tunnels that will close the missing link in Melbourne’s freeway network from the M80 Ring Road to an upgraded Eastern Freeway, reducing journey times and diverting heavy vehicles away from local roads. Up to 135,000 vehicles will use North East Link every day, reducing congestion in the north-east while maintaining local roads. About the opportunity If you thrive in a fast-paced environment and have an eye for precision, this role is tailor-made for you We have an exciting opportunity for a Construction Site Administrator to join us on the North East Link Project to provide our construction team with ongoing administrative support. You will play a pivotal role in providing administrative support, which may include managing the day-to-day activities of team, inclusive of diary management/scheduling, communications, reporting, records management, procurement, accounts/invoices, travelling & logistics and purchasing. Assistance may also be required in client relationship management including, events, and management meetings. Please note this role is full time role based at one of our various site offices with limited access to public transport therefore it will be an essential requirement of the role to have your own vehicle. You will be responsible for: Registering and overseeing incoming and outgoing correspondence and documentation Preparing relevant documentation including assisting with the formatting/typing of correspondence, submissions and presentations Maintain an effective filing/archiving system to ensure records and documents are suitably protected from damage and are readily available Continuously seeking ways to improve the provision of services and processes Implementing and support change strategies Performing administrative tasks including data entry, budgeting and forecasting for the project, paperwork Ensuring that the required materials are delivered to the worksite by liaising with suppliers and clients. Managing systems and processes to enable timely and accurate administrative recording, reporting and analysis of information Preparing and issuing site instructions Documentation for procurement, reconciling invoices, procuring quotes & raising purchase orders Site set up and management – assisting in procurement of goods needed for the offices Coordinating the planning & scheduling activities on the project of Project Team members including suppliers and contractors, as directed by the Project Manager Minimum requirements for this role include the following: Previous administration experience within a construction, resources, or industry environment is desirable Proficient use of Microsoft Word, Excel and PowerPoint. Strong organisational skills and ability to work in a fast-paced environment. Clear written and verbal communication skills.
