We're looking for someone who is self-motivated and keen to grow with our business and eventually oversee/manage an administration team. Responsibilities Administrative Support : Perform general office administration tasks, including typing documents, scanning, printing, copying, and assisting with phone operations. Contractor and Job Management : Assist with contractor onboarding and compliance processes; monitor job progress and raise jobs in the management system (Simpro), including issuing purchase orders and invoicing. Client Liaison : Communicate regularly with clients about job progress, scheduling, and updates. Office Upkeep and Supplies : Maintain a tidy office environment, including loading dishwashers, stocking the fridge, checking bathroom supplies, managing waste disposal, and overseeing stationery, office supplies, and uniform orders. Visitor and Mail Management : Greet visitors and maintain the visitor register while handling the collection and distribution of incoming and outgoing mail. Training and Event Coordination : Book and log training courses for staff and assist in organizing company events. First Aid and Vehicle Maintenance : Check and restock first aid kits and collect Vehicle Inspection Checklists while scheduling servicing and repairs. Record Keeping and Induction Management : Maintain accurate records for managers and ensure all contractors and employees are properly inducted as per client requirements. General Administration and Ad-Hoc Tasks : Manage invoicing, purchase orders, quoting, and file management, as well as perform various tasks as requested by the Operations Manager. Key Qualities Experience Preference : Project administration and/or maintenance coordination experience is preferred. Self-Motivated "Can Do" Attitude : Proactively tackle challenges with a positive mindset. Interpersonal Skills : Excellent interpersonal abilities to foster positive working relationships with various stakeholders. Coordination and Planning Skills : Strong coordination and planning capabilities to ensure smooth operations. Communication Skills : Exceptional oral and written communication skills.
