Job Summary: A newly developed role of Administration Officer was added to our Recognition & Negotiations pillar. In this role you will provide administration support to the Wadawurrung Native Title Applicants, Native Title Working Group, the Recognition and Negotiations team as well as the General Manager of the pillar. This role, which is an 18-month contract, will be based at the Ballarat office. Occasional travel to the Geelong office may be required. About Us: Wadawurrung Traditional Owners Aboriginal Corporation (WTOAC) is a Registered Aboriginal Party (RAP) under the Aboriginal Heritage Act 2006 (Vic) and was established in 1998. WTOAC is governed by a Board of Directors of Traditional Owners. Each Director represents a Family Group of the Wadawurrung People. Its role is to protect and advance the aspirations of Wadawurrung People by managing their cultural heritage rights and interests, as well as supporting them in the achievement of the goals and aspirations as outlined in the Wadawurrung Country Plan. Main responsibilities: Organise and document key meetings and Wadawurrung community gatherings Prepare and maintain relevant documents and records Manage a Share Point site for resource-sharing Act as a liaison between Wadawurrung Members, staff and legal representatives to share information, encourage engagement, and provide updates Handle logistics such as travel booking and organising Member information sessions Provide the Recognition & Negotiations General Manager and team with general administrative support (including emails, appointments and scheduling, financial reconciliations and other team needs) What personal profile will succeed with us: A confident, clear and cordial communicator who fosters positive working relationships An autonomous self-starter who works collaboratively within the team and the wider organisation. Key Selection Criteria of role: Demonstrated experience in administrative roles, including scheduling meetings, taking minutes, and coordinating events & travel Highest levels of discretion and confidentiality Proven proficiency in preparing and maintaining documents and records accurately and efficiently Experience in developing and managing SharePoint sites, Board Pro or similar platforms for resource sharing and collaboration Strong communication & stakeholder management skills including community members, staff, and legal representatives Exceptional organisational skills with the ability to manage multiple tasks, think on your feet and priorities Experience in effectively working alongside Aboriginal People (desirable) How to apply: Please apply via seek with a resume and cover letter outlining your suitability for the role.
