Your role at St John of God Midland Hospital The Midland Physician Service (MPS) comprises general and subspecialty physicians doing public and private inpatient and outpatient work; a respiratory testing service; comprehensive sleep service; and public and private endoscopy services. In this role, you will provide a highly professional standard of customer service to our hospital clientele, caregivers and health care team via reception duties and comprehensive administrative support to the Midland Physician Service. The Position Attending to telephone and reception enquiries using a pleasant, courteous and professional approach and assisting where possible or referring the enquirer to the appropriate Caregiver/Department. With minimal supervision, provide a reception service to meet the daily requirements for outpatient services relating to the Midland Physician Service. Monitor Referrals triaged by Physicians and action booking of the appointments accordingly. Create and maintain patient information in the relevant Patient Administration Systems in a timely manner. Receive all MPS-related telephone calls, evaluate and initiate any action required. Monitor and manage endoscopy waitlist and theatre list. Accept and receipt cash/Eftpos payments relating to the patient visit or for clinical items purchased by patients in Genie Software. Collate and prepare patient information to be sent to Health Information Services (HIS) for scanning within department timeframe guidelines. Monitor sleep/respiratory equipment scheduled for patient collection or return to the clinic. Maintain and ensure sufficient stationery is available at all times as required. Ensure all internal and external mail is distributed appropriately and promptly. Participate in new staff training and mentoring. Adhere to confidentiality principles. You will have experience in varied administrative duties and reception with a strong front line and accurate data processing/keyboard skills. Experience in the use of varied computer software packages including Patient Administration systems and MS Office products including Word, Outlook and Excel is vital. To succeed you will be customer focused with the ability to use your own initiative and be able to organise and prioritise clerical tasks with minimal supervision, as well as strong verbal and written communication skills with the ability to be flexible and work as part of a team. Previous experience in a similar role in a hospital/health care environment would be highly desirable.
