School of Health and Rehabilitation Sciences Full-time, permanent position commencing ASAP Base salary will be in the range $89,861 - $96,402 17% Superannuation (HEW Level 6) Based at our St Lucia campus About This Opportunity We are eagerly seeking a highly organised and experienced Senior Administration Officer to join our world-leading School of Health and Rehabilitation Sciences to oversee the administrative processes that underpin the clinical placement of students. In this role, you will supervise a dedicated team of Work Integrated Learning (WIL) administrative support staff and work closely with Clinical Education Liaison Managers (CELMs) and Course Coordinators to achieve an annual student placement schedule by managing workloads and prioritising tasks to meet deadlines. Key responsibilities will include, but are not limited to: In consultation with the CELMs/Course Coordinators and other relevant stakeholders, ensure WIL placement planning and management is effectively coordinated, and promote a positive student-centred culture that delivers high quality and responsive levels of service. Actively analyse, develop and document local Standard Operating Procedures (SOPs) to ensure transparency and clear guidance to the administration of WIL across the School, in consultation with stakeholders. Supervise administrative team members, including provision of training in new processes and management of workflow to meet deadlines and service quality expectations. Provide direction and support on the utilisation of the available placement system(s) to ensure the systems are incorporated into the School’s WIL processes. Ensure the maintenance of accurate placement records and collect, analyse and report on data relating to WIL in the School. About You A degree with subsequent relevant experience; or an equivalent combination of relevant experience and/or education/training. Excellent oral and written communications skills and where applicable, the ability to independently analyse situations and proactively take action including escalation when appropriate. High level organisational skills with the ability to prioritise workloads to manage peak workflows and meet competing deadlines. Responsive to, and welcoming of, continuous process improvement and a flexible approach to achieving quality outcomes. Demonstrated sound knowledge of University policy and procedures in areas relevant to student administration or the ability to rapidly acquire such knowledge. Demonstrated capacity to design and document efficient and robust administrative processes and act as the School’s expert user in the University’s Placement Management System (InPlace). Previous user of corporate systems such as InPlace, SI-Net (PeopleSoft), Blackboard, TRIM, and Business Objects. Demonstrated ability to positively develop and manage strong working relationships with stakeholders across a wide client base. Previous experience supervising staff would be advantageous.
