DIRECTORATE: Infrastructure, Planning & Environment CLASSIFICATION: Trainee SALARY: A minimum of $803.30 per week 11.5% employer contribution to superannuation REPORTING TO: Executive Assistant to the Deputy CEO EMPLOYMENT TYPE: Temporary Full Time - up to 3 years THE POSITION: To provide high quality administration and clerical assistance to the Infrastructure, Planning and Environment Directorate. Responsibilities KEY RESPONSIBILITIES: Under direction assist in the following. Secretarial/Administration (e.g. Travel arrangements, organising conference registration, accommodation arrangements, preparation of meeting agendas/minutes, diary management). General office duties including typing, photocopying, binding, collating, accounts, data entry, memos, preparation of advertisements, use of MS Office suite to prepare documents/presentations etc. Maintenance of electronic and paper filing system. Mail/Correspondence management and distribution. Develop and maintain information sites for Infrastructure, Planning and Environment on both the intranet and internet. Develop and maintain operational procedure manuals. Perform other tasks or duties as directed by the Supervisor which are within the limits of the employee’s skill, competence and training. Observe requirements of the WHS Legislation, relevant to the job and adhere to AlburyCity Policies and Procedures regarding WHS. Observe appropriate AlburyCity Policies and Procedures regarding day to day operations including Equal Employment Opportunity policies, AlburyCity’s Dress Code and Standards Policy and AlburyCity’s Code of Conduct. Qualifications KEY RELATIONSHIPS: Internal Our People External Our community EMPLOYMENT CONDITIONS: Based on a 35 hour week, with actual days and times being Monday to Friday, 8:30am to 5:00pm, with an RDO in accordance with AlburyCity's RDO guidelines. This position may involve work outside normal working hours. Additional hours over the standard 35 hours will attract a time in lieu arrangement or payment of overtime rates as agreed in advance with your supervisor. This position requires enrolment in and completion of a Certificate III & IV in Office Administration as part of an AlburyCity traineeship. The study component of the course will be primarily completed outside standard working hours of the position. This position is for a temporary period of up to 3 years. This position is a formal traineeship and is regulated by the Apprenticeship & Traineeship Act 2001. Applicants with equivalent industry qualifications are ineligible to apply. The position requires an average level of aerobic and physical fitness to undertake occasional physical activities, such as walking and lifting, along with general manual handling tasks as part of a normal working environment. A medical declaration is required for this position. This position is subject to alcohol and other drug testing. This position is located at the AlburyCity Administration Building, 553 Kiewa Street, Albury, with occasional visits to external sites/depots as required. ALBURYCITY TRAINEESHIP CRITERIA To be considered eligible for this position: An applicant must not have 50% or more of the identified qualification or a similar or a higher industry qualification completed. The recruitment of an AlburyCity Trainee is based on the assumption of no/limited industry skills or knowledge and is not based on age. ESSENTIAL CRITERIA: Completion of Year 12 Higher School Certificate or equivalent Class C (standard) Driver's Licence, Provisional Licence (compulsory to have and maintain) DESIRABLE CRITERIA: Ability to work in a fast-paced environment Knowledge of Local Government Legislation SPECIALIST KNOWLEDGE AND SKILLS: Some knowledge of the following: General Office equipment The use of Microsoft Office (Outlook, Word, Excel, PowerPoint) Office functions Filing/Electronic Document Management Internet and web based programs Agenda preparation and minute taking Travel, accommodation and conference bookings
