With approximately 5,800 registered students with disabilities, health, or mental health conditions receiving support from the Disability Resource Centre, our team is committed to ensuring that over 1,850 new students each year feel welcomed and supported in their academic journey. We are seeking a Customer and Administrative Officer who will report to the Access and Inclusion Business Coordinator and provide exceptional customer service and high-level administrative support to our dedicated team. Located at Burwood, the Customer and Administrative Officer will serve as the primary point of contact for students and staff seeking services from the Access and Inclusion team, particularly the Disability Resource Centre. This role involves managing a diverse range of enquiries via in-person interactions, phone calls, and emails, ensuring accurate information and timely responses. Responsibilities include managing student registrations and appointments, coordinating administrative tasks related to service delivery, and maintaining effective communication within the team. Key duties involve undertaking general administration tasks, including office administration, reporting, scheduling meetings, preparing correspondence, electronic filing, photocopying, ordering stationery and consumables, and maintaining supplies. Candidates should possess highly developed customer service skills, excellent oral and written communication abilities, and a strong proficiency in information technology systems, including Microsoft Office and Outlook. As a Customer and Administrative Officer , you will: Provide reception, triage and referral services for Access and Inclusion and Disability Resource Centre (DRC) by receiving and providing information and advice to students, staff, and members of the public to ensure enquiries are addressed promptly and accurately. Manage student registrations, calendars and appointments for DRC services to ensure effective and efficient delivery of services. Manage Assistive Technology Licence allocations. Undertake and coordinate a range of administrative tasks relating to DRC service delivery, budgeting and invoicing and risk management. Triage enquiries, communicating effectively with team members to assist the student or staff member in a timely and professional manner. Maintain and develop up to date knowledge of what is happening within the Deakin environment across Divisional, Faculty and other areas of the University, ensuring appropriate referral and accurate information is provided to students and staff at all times. To be successful, you’ll have: Completion of degree level qualification OR an equivalent combination of relevant experience and/or education/training. Highly developed customer service skills. Excellent oral and written communication skills and the ability to communicate effectively with a wide range of groups and individuals internal and external to the University, including people from diverse backgrounds and people with disability. Ability to use a variety of information technology systems and willingness to learn new systems. Attention to detail, initiative, judgement, and tact. Effective time management skills and the ability to prioritise your workload, meet deadlines, and work with minimum supervision while maintaining confidentiality.
