About the Role: Working with the Facilities team, the Receptionist will serve as the first point of contact for the Law Institute of Victoria (LIV) and will provide a welcoming and professional environment for visitors, members, guests, or clients. As the first point of contact for the LIV, the Receptionist plays a pivotal role in setting a positive and welcoming tone in all visitor interactions, managing front desk operations, handling in-person and phone queries and performing administrative tasks as required. Key Responsibilities: Welcoming Presence: Greet visitors and clients with warmth, enthusiasm, and professionalism, ensuring an excellent first impression of our brand. Efficient Call Handling: Answer, screen, and direct calls with precision, ensuring smooth communication across all departments. Reception Area Management: Keep the front desk and reception area organized, welcoming, and representative of our company’s high standards. Provide reception services as first point of contact for the LIV office, attending to members and other callers (remotely and in person) in a friendly and professional manner Answer and direct phone calls promptly and accurately, ensuring that messages are taken and forwarded appropriately. Triage callers and visitors, directing them to appropriate legal and other services Managing the Inquiries email inbox, directing emails to relevant staff and performing initial triaging of inquiries. Preparation of outgoing and incoming postal correspondence. Undertaking other general administrative and clerical support as required. What We’re Looking For: Experience: 3-5 years of experience in a high-level receptionist or front desk role within a fast-paced environment. Energy & Enthusiasm: A positive attitude and genuine enthusiasm for customer service. Communication Skills: Excellent verbal and written communication skills, with the ability to handle multiple tasks at once. Professionalism: A polished appearance and demeanor, able to represent the company at the highest level.
