About the role In this role, you will have an eye for detail and strong written and verbal communication skills to support meetings, planning and logistics, events and the production of reports and documentation for the Council and Executive Services team. This is a job-share arrangement, working alongside a highly experienced administration professional. Three days a week, Tuesday, Wednesday & Friday – 5 hours per day. Work type: Temporary part time (6 months) Classification: Band 5 ($76,355 - $86,617 pa plus super) pro rata Key responsibilities include: Provide general administrative and business support to the Council and Executive Services Team, including, preparation of reports, support for meetings and events, preparation of purchase orders and reconciliation of invoices. Assist with process reviews on a project basis to identify and implement improvements to business processes. At times, assist with coordinating diary appointments via the processing of invitations to the Mayor & Councillors and follow up with attendance at functions including registration, travel & accommodation, etc. Support Councillor inbox triaging and request management when required and requested from the team. Input data and record correspondence, requests and invitations using corporate (Rex and Pathways) and MS office software. About you To be successful in this role, you will have significant experience in a complex organisation and strong written and analytical skills to prepare clear, concise reports and correspondence on complex matters, ensuring effective communication. Essential: Confidence in working in a time sensitive environment with attention to detail. Ability to connect with people through well-developed verbal and written communication ensuring accuracy and an approachable style. Professional presentation and courteous manner enabling professional, flexible and friendly working relationships. Awareness of the cultural and community responsibilities of civic office. Experience in contributing to a positive and flexible team environment. Current Victorian Drivers Licence Preferred candidates will be required to undergo a National Police Check as part of the recruitment process (funded by the City).
