About the role: Provision of general administration duties to support branch operations, including the coordination of fleet maintenance and customer repair equipment documentation. Key Responsibilities: • Work closely with the workshop supervisor to manage the service department and perform the associated service & administrative tasks as required • Provide friendly and professional customer assistance as the first point of contact for all service-related enquiries, phone calls and general customer service enquiries • Manage all incoming service and customer related repairs, including receiving/booking reports to ensure timely progress through the service department. • Timely collation and processing of all branch documentation including timesheets, Take 5, pre-starts, JSA’s and job sheets • Timely co-ordination, validation and processing of purchase orders, client & supplier invoicing • Assist with booking of branch personnel training, medical, accommodation, travel, and site access requirements • Provide support to the Rental Coordinator (and other roles) in line with operational requirements and or providing coverage for when the employee is on leave • Assist the HSE & HR departments in administrative duties to ensure compliance with legislative obligations • Assisting or collaborating with key stakeholders to achieve key business objectives, including but not limited to supporting the Contracts Administrator/Rental Coordinator in line with operational requirements or providing coverage for leave • Accurately maintain all service and repair records and other documentation associated with fleet maintenance • Liaise with customers to ensure that they are kept up to date with their job repair status via portals as required • Manage and maintain open job cards • Compile and prepare for Workshop Supervisor job costings prior to sending to the customer, which includes external quote correlation and pricing. • Manage & submit Capex paperwork as and when required in line with company policies & procedures. • Manage invoicing of customer repair jobs • Delivering exceptional customer service to both our internal and external customers •Other duties as directed by your supervisor. Skills and Experience: Essential: • Current Driver’s Licence. • Ability to manage competing priorities and maintain strong attention to detail. • Advanced Microsoft Office Suite skills • Well-developed communication skills • Ability to work with flexibility and initiative with limited direction or supervision. Desirable: • Experience in Rental, Mining or Construction (or similar) Industries • Certificate III Business Administration (or similar) • Experience in Insphire.
