Our Events Team is currently looking for a casual Receptionist to join the team at our Hills campus. This role will be responsible for the effective responses to enquiries made in person, by email or phone in such a way that the enquirer’s needs are fully met, and their impression of the Church is positively enhanced. Other aspects of this role include: Switchboard Operations Professionally receive and direct incoming calls to the appropriate person/department. Record and distribute incoming messages for staff via email. Report telephone equipment or queue faults to the IT department & direct oversight. Manage and update the after-hours recording messages. Review and update the staff contact and phone extensions lists. Assist with other phone queues in peak seasons. Inbox Management Respond to emails received to Hillsong Church in a timely manner. Daily assess emails for any potentially urgent content first before responding. Assist with other email inboxes as directed by oversight. Reception Warmly receive visitors to the Church and direct their enquiries accordingly. Assist people with the Visitor Sign in system and any Hills Campus Boom Gate enquiries. Record a log of Boom Gate enquiries. Receive & distribute incoming mail to the appropriate pigeonholes daily. Prepare and post outgoing mail daily. Receive deliveries and inform the appropriate person of the arrival. Maintain a visually tidy and attractive reception & foyer area. Responsible to manage lost property area. Responsible to order paper, stationery and milk. Responsible to submit invoices on time. Maintain knowledge of the emergency response policies & procedures. Reception Team Give assistance and guidance to other Reception staff regarding daily tasks, updates to processes & general information. Train Reception staff as required by personal demonstration.
