Develop and support key administrative processes to ensure rigorous diary management for two leads based in Sydney and Brisbane, and the broader Practice team. Proactively manage the day-to-day operations of the Sydney office, and fulfil key organisational duties across important events and programs held by OPAN. Permanent, full-time role 4 days onsite in a brand-new office in Surry Hills, with the opportunity to work from home 1 day a week and travel interstate once a month Passionate and uplifting workplace culture Impact of the Organisation The Older Persons Advocacy Network (OPAN) is a national network of independent member organisations that give a voice to older people seeking or receiving government-funded aged care services. The network provides free and confidential aged care advocacy, information, and education to older people, their families, or representatives. As a peak body, OPAN works with the government and other agencies to influence aged care policy through systemic advocacy. Impact you will have in the role As the Administration Support Officer, you will play an integral role in partnering with the Director of Operations and the Practice team. You will manage schedules, oversee diary management, and coordinate crucial events, meetings, and workshops. Your contributions will be essential to OPAN’s mission of enhancing the lives of older individuals by ensuring smooth and effective operations. In this key administrative role, you will be the cornerstone for two busy leaders within the organisation, overseeing all administrative and organisational tasks for the new Surry Hills office. Your efforts will ensure a well-organised, efficient, and inviting workspace, collaborating with maintenance and support staff to create an environment that enhances both operations and employee satisfaction. Key Responsibilities: Administrative Support: Provide essential support to the Director of Operations, including scheduling meetings, taking minutes, coordinating registrations and travel, booking event spaces, and handling other administrative tasks Data Management & Protection: Maintain a secure system for data management, ensuring confidentiality and accuracy, and prepare qualitative data for analysis People & Culture: Assist with onboarding new employees and supporting people management processes Practice Support: Coordinate National Advocate meetings, Communities of Practice, and advisory group meetings by preparing agendas, liaising with chairpersons and speakers, coordinating notetaking and logistics, and updating practice team instructions Communications: Manage the coordination of internal and external communications, including meeting invitations and consultations Sydney Office Management: Oversee the administrative functions of the Sydney office, including procuring kitchen, office, and IT supplies, staff scheduling, maintenance coordination, visitor and employee services, and WHS compliance Events & Meeting Coordination: Plan and execute critical OPAN meetings and events, handling logistics, guest speaker arrangements, vendor relations, and overall event success Organisational Responsibilities: Embody OPAN’s values in communication and behaviour, adhere to policies, code of conduct, and procedures, comply with external funding requirements and legislation, and follow Health, Safety, and Environment standards Skills & Experience: 2 years of experience in an administrative role, working with multiple stakeholders, with a preference for candidates with qualifications in Business Administration Energetic team player with strong interpersonal skills and a positive attitude Exceptional organisational and time management skills Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) Excellent verbal and written communication skills High level of attention to detail Flexible and adaptable Ability to collaborate and work autonomously when necessary Demonstrates problem-solving capabilities and is solution-oriented Shows an empathetic, communicative, and compassionate approach to all stakeholders OPAN acknowledges Aboriginal and Torres Strait Islander peoples as the first people of Australia and the sovereign Custodians of the country, and in supporting the human rights of older people, recognises and respects the human rights of Aboriginal and Torres Strait Islander peoples.
