About the Role We are seeking a Permanent- Part Time(4 days a week) Administration Coordinator, Location - Redfern, NSW tasked with providing a truly exceptional, customer focused service to drive excellence and performance. Purpose: The Administration Coordinator will coordinate activities and provide a range of administration support to ensure the effective management of the Salvation Army International Development (SAID) Department. The Administration Coordinator will also be required to develop and manage relationships with several key internal and external stakeholders and maintain high levels of confidentiality and professionalism at all times. Key Roles and Responsibilities: The SAID Administration Coordinator is responsible for working with Head of SAID to: Provide a full range of administration support to ensure effective management of SAID department’s office, schedule and workload. Support preparation for SAID meetings and record accurate minutes at SAID , tracking completion of action and follow up items. Organise events and meetings such as preparing invitations, coordinating attendees, developing agendas, taking minutes and ensuring all required resources such as IT systems are available and functioning. Develop a range of reports, documents and presentations including summarizing and analysing data and information to support the Head of SAID. Ensure sound document control and record management of key information is maintained through utilising filing and retrieval systems, ensuring confidentiality as required. Manage a range of financial processes including expenses and invoices and transfer of funds. Coordinate the different tasks required to inform the Australia Territory Annual Report. Liaise with Fundraising and Communications to ensure sharing of stories and information and act as point person for SAID Team for the management of SAID images. Manage emails to ensure appropriate attention to priorities and management of responses Coordinate and arrange the travel arrangements for the SAID Team, including flights, accommodation and visas. Undertake a range of general office administration to ensure the smooth running of the office of the HoD and department function. Update and maintain the SAID Administration Manual. Provide a full range of administration support to ensure effective management of SAID department’s office, schedule and workload. Requirements of the role: A national police record check is required. Valid Working with Children Check. Education Qualifications: Relevant Business qualification such as Certificate IV in Business Administration. Demonstrated significant relevant experience, knowledge and skills. Ability to work collaboratively with a broad range of stakeholders. exceptional level of organisational skills. Knowledge of Microsoft applications, including Word, Excel and PowerPoint. Desirable Skills: An understanding of governance models in the NGO/charity sector. An understanding of international Community development. Knowledge of the ACFID Code of Conduct, DFAT accreditation standards.
