About the Role: We are looking for a qualified and experienced Administration Assistant to become a vital part of our dynamic, collaborative team. Key Responsibilities: Administrative Support: Work closely with leadership (Managing Director, CEO) and various departments to ensure administrative tasks are handled smoothly and professionally. Invoicing and Compliance: Prepare and dispatch invoices, generate service agreements, and upload invoices to the NDIA Portal while ensuring adherence to all regulatory guidelines. NDIS Knowledge: Utilize your expertise in the NDIS to streamline processes and assist in rostering, timesheet management, and other key operational functions. Calendar Management: Manage scheduling for team members, therapists, and clients to ensure efficient appointment booking and time allocation. Stakeholder Communication: Liaise with external stakeholders for timely submission of invoices and maintain accurate financial records using Zoho Invoices. Team Collaboration: Assist the Business Development Officer in daily tasks and contribute to the team’s overall efficiency through administrative support. Client Support: Provide professional, empathetic customer service over the phone, via email, and in person, ensuring participants receive the highest level of care and attention. Team Meetings: Participate in weekly team meetings, sharing stories of impact, contributing to team development, and fostering a supportive, positive team culture. About You: Experience: You have a minimum of 2 years’ experience in an administrative role, preferably within the NDIS or healthcare sector. Experience as a receptionist is a plus. Multitasking Skills: You excel at managing multiple tasks, staying organized, and meeting deadlines, all while maintaining high attention to detail. Communication: You possess excellent written and verbal communication skills and are comfortable interacting with people from all walks of life. Tech-Savvy: You are proficient with IT tools and software, particularly Zoho Invoices, and you can ensure accuracy in all documentation and record-keeping.
