Wintringham is a specialist not-for-profit organisation providing an extensive range of aged care, housing and related support services to men and women aged 50-plus who have been homeless or at risk of homelessness. We employ over 1000 staff and operate from multiple offices across Melbourne, regional Victoria, and Tasmania. Wintringham and Wintringham Housing Limited own and operate a diverse and rapidly expanding property portfolio, within Victoria and Tasmania. It includes Residential Aged Care Facilities, independent living units, and offices. We develop to own, and we manage properties on behalf of other organisations. The Asset Services department is charged with the responsibility of maintaining and enhancing Wintringham’s assets to ensure the organisation can continue to provide a safe and secure environment. Your new role We are currently seeking an experienced and motivated administration professional with a minimum of three (3) years of experience to join our Asset Services Team on a Part Time basis for 3 days per week (minimum of 2 consecutive days). This role will undertake a range of general daily administrative tasks to assist in the functioning of the Asset Services Team along with routine tasks related to invoice processing, purchase order processing, reporting, documentation management, asset management system updates, and workflow management. You will have a professional and friendly approach to customer service in this administration role which is interacting with organisation wide internal and external customers. Your responsibilities and duties will include: Daily management of work order processes, including vendor invoice and purchase order processing, work order updates & close out, and record management Data entry & updates to various systems (ERP EPICOR & CMMS) Administer & maintain up-to-date records to agreed standard, including; service reports, audit reports, manuals, plans, contractor lists and registers Processing of Asset & Property related invoices through ERP system EPICOR Assisting with generation of routine reporting Support development of training and process documentation Monthly corporate credit card reconciliations for managers Assisting Asset Services & Property Services managers with ad-hoc administrative tasks We are looking for candidates with the following: Advanced computer literacy including excellent knowledge of Microsoft 365 applications, including advanced word processing and spreadsheet skills, demonstrated experience using ERP or Cloud based computing Excellent secretarial & administration skills, with prior experience essential – qualification in Office Administration or similar is desirable Strong financial management skills and experience in managing accounts, purchase orders, and invoices Excellent time management and attention to detail Exposure to or prior experience in Asset and/or Facilities Management is desirable Excellent phone manner & written communication and customer service skills A caring, helpful, and non-judgmental attitude with the ability to liaise respectfully with management, staff, and people from varying socio-economic backgrounds What’s in it for you?
