The role involves client facing and non-client facing work to support the teams in providing high quality care to families in line with Derbarl’s Paediatric Model of Care and Derbarl’s Values. This position will be on a Maximum term contract of 1 year from start date (with possibility of extension). Key Responsibilities Primary Objective: The Admin Support worker – Paediatrics, Child & Maternal Health role is to provide high quality and transparent administrative support to all members of the Paediatric and Child Maternal Health team, ensuring efficient operation and the delivery of exceptional care to patients. 1. Administration Support: Serve as the primary point of contact for administrative enquiries and support for the Paediatric and Child Health Maternal team. Manage schedules, appointments and meetings using Communicare medical record system to ensure effective time management and coordination among team members. Monitor missed calls on the central line and return them where appropriate or ensure the messages get passed to the appropriate key worker. 2. Communication Coordination: Facilitate clear and efficient communication within the team. Prepare and disseminate correspondence for example, sending appointment letters to families notifying them of upcoming appointments, memos, reports, and presentations to ensure that all team members have access to necessary information. 3. Record Keeping and Data Management: Maintain comprehensive and accurate records of patient care, treatments and procedures. Manage databases and filing systems including uploading documents onto the medical software program Communicare for review and distribution to health professionals and to send the appropriate correspondence to guardians ensuring confidentiality and compliance with healthcare regulations at all times. 4. Provide cultural guidance to team members where appropriate. Selection Criteria Essential: Aboriginal and/or Torres Strait Islander pursuant to Section 50D of the Equal Opportunity Act. Highly developed verbal and written communication skills, including an ability to communicate effectively and sensitively with Aboriginal people. Proven experience in administrative roles preferably within healthcare settings. Demonstrated ability to manage and maintain strict confidentiality and security of records and information at all times. Strong attention to detail and timely action on tasks. Proficiency in medical software, databases and MS Office software packages specifically MS Word, Outlook, Excel and Power Point. Ability to take minutes in a formal meeting environment. Ability to work with minimum supervision to meet deadlines and daily work commitments. Current WA Driver’s license and satisfactory Police Clearance. Current Working with Children check. Desirable: One (1) year experience working in an admin support role for a service with a high volume of Aboriginal clients. Certificate III in Business Administration or equivalent. Knowledge and understanding of the holistic and family centered approach to Paediatric health service provision. A high level of expertise in the use of Communicare from an admin access level.
