If you're as excited about this as we are: join us It’s a hell of a ride. The Exciting role: As New Aim's Receptionist and Admin Assistant (Part-time) you will be an ambassador for the company. As the first point of contact, you will provide support to all internal team members and office visitors, with a Customer Service focus. You will need to be highly organised and be able to display your initiative to make this role your own. This role requires you to be in the office Monday to Friday, 9am - 2pm, (with 1 hour for lunch) Day to day, your responsibilities will include: • Manage the reception area and greet visitors in reception, handle any walk-in guest (visitors, customers, delivery person, services trades) and monitor guest sign ins. • Set up, coordinate, and manage company facilities, such as meeting rooms. • Monitor the admin inbox email and acknowledge emails within 24 hours, reply and action each task. • Process procurement for office, warehouse (x5), and IT supplies. When required- obtain quotations. • Record, file and collate invoices. Submit invoices for processing. Data entry and reporting. • Compose and distribute company monthly newsletter (Issue last day of each month) • Support the organisation of company celebrations and employee engagement events. • Coordinate and organise routine maintenance (eg: pest control, office & WH cleaning, aircon services) • General Administrative support to various department including warehouses (flights, and accommodation bookings, facilitation of meetings, company vehicle booking, data entry, banking, sending letter and expense claims) • Participate and represent Admin in New Staff Introduction (Onboarding Program), support in new employee onboarding such as preparing badge and coordination with IT for access. • Manage Key Registration • Take notes and minutes in Team meeting. • Organise the kitchen – set-up the kitchen facilities in the morning and afternoon, (ensure coffee, milk, etc is stocked) What You'll Bring: • 2 – 3 years administration experience • MS Office (Word, Excel, PowerPoint) and Google • Fluent English – Written and Verbal • A pro-active mind-set The Perks: • Free on-site parking (and coffee) • Close to public transport – within 15 minutes’ walk from the train station • Generous employee discounts on over 6,000 products • Company funded events, including Christmas event celebrations, birthday celebrations etc. • Internally funded team engagement activities • Flexible working hours New Aim is an Equal Employment Opportunity employer - we welcome all applications and screen them without attention to race, age, beliefs, sex, orientation, gender identity and disability.
