SUMMARY OF THE ROLE We are now inviting applications from interested candidates for Customer Service Administrator, based in our Derrimut head office. The role will be responsible for processing customer orders by entering in the system to ensure orders and invoices are processed in an accurate and efficient manner resulting in the best service possible to the customer. The position will report to the Customer Service Supervisor. Responsibilities: • Process and verify the accuracy of orders from customers in a timely and efficient manner to ensure that Jotun’s on time delivery performance objective is achieved. • Receive and enter orders for collection or delivery and make sure that proper control of documents flow is achieved. • Follow-up with warehouse for all customer report of deliveries. • Dispatch invoices and credit notes to customers and follow up to ensure they are received on time in full. • Perform the data entry of inventory transactions • Verify, enter and review system prices accurately with the customer’s purchase orders and sales orders. Attach other relevant documents if required. • Process customer returns according to established Jotun’s Guideline and Procedure. • Ensure information on orders is accurate to facilitate invoice processing. • Resolve invoice inquiries and discrepancies from customer or partners. • Work closely with Finance Department to resolve disputed credit items. • Ensure all exception and promotion customer pricing follow Jotun’s guidelines. • Log customer complaints in the company’s customer complaint database.
