Summary The Administration Officer reports to the General Manager of Corporate Services and is responsible for the day-to-day delivery of administrative services and HR support. As an administration officer, you will work collaboratively as part of the corporate services team that delivers efficient and effective administration services. Position Objectives Administration Respond to phone enquiries and consult with internal and external customers promptly, courteously, and effectively, ensuring a high level of customer service. Manage and monitor shared mailboxes, redirecting or actioning as appropriate. Maintain office and service supplies to ensure adequate resources are available across sites. Monitor and coordinate approved maintenance requests, including consulting with external contractors and site contacts for approved maintenance works. Organise corporate branded promotional material, e.g., business cards, flyers, and expo material. Coordinate and assist with corporate events/functions as required. Perform record-keeping tasks, including accurate data entry, filing, and archiving of documents to ensure currency of records. Assist with specific project tasks, as required. Human Resources Support the General Manager Corporate Services in efficiently delivering compliant HR functions within PALS. Coordinate the recruitment and shortlisting of candidates, arrange interviews as required, conduct reference checks and mandatory pre-employment checks and complete the PALS credentialing process. Complete the onboarding process for new employees by creating personnel electronic files in the HRIS and access to identified systems (e.g. 365, Visual Care, eTrainU). Maintain ongoing accurate personnel records in relation to mandatory compliance checks and qualifications. Coordinate the offboarding process for exiting employees. Monitor staff mandatory compliance to ensure renewal before expiry. General Support the reputation of PALS as a preferred provider by contributing to high-quality service delivery and operating in line with PALS values and Code of Conduct. Work in a safe manner, adhering to all occupational health and safety (OH&S) requirements and report all hazards and incidents through the organisation’s OH&S processes. Comply with organisational policies and procedures and instruments of delegation. Qualifications and Checks Mandatory Proven experience of 3 years or more in administrative roles. NDIS Worker Screening Check Current Drivers Licence Desirable: Previous experience in recruitment processes. Experience in using various business systems. Experience in having worked in a not-for-profit community service organisation. Key Selection Criteria Experienced in performing a wide range of administrative tasks with a strong focus on quality and attention to detail. Excellent phone manner and effective people and communication skills, both verbal and written. High proficiency skills and confidence in using Microsoft Office Suite and technology. Previous experience using client and employment systems (e.g., Employment Hero, Visual Care or similar) and intranet systems. Excellent time management and prioritisation skills with the ability to take instructions, manage tasks and deliver in appropriate and identified timelines. Able to work independently and as part of a team, demonstrating initiative and enthusiasm.
