Administration Assistant Clerk Grade 1/2 Silverwater Parole Unit Location: Silverwater Parole Unit Employment Type: Ongoing – Full Time: Monday – Friday Flex Time Salary: $70, 694 -$76,857 pa (Clerk Grade 1/2) Superannuation - Annual Leave Loading Primary purpose of the role The Administrative Assistant provides quality customer and support services to a broad range of stakeholders including but not limited to, administration and other staff in the office, other agencies, members of the public and offenders, to enable the efficient operation of the Community Corrections office. What you’ll do As part of the role, the ideal candidate will be required to provide a high level of support to senior executive staff and work teams with the successful delivery of correctional and community administrative duties to ensure effective operation of the work area. The successful candidate will be responsible for, however is not limited to the following. • Undertake a variety of administrative activities for and on behalf of the Manager and/or a work team with or without collaboration of relevant stakeholders to ensure activities are completed effectively, records updated, feedback provided, and inquiries clarified as required. • Maintain manual and digital records accurately and securely ensuring these are accessible. • Respond efficiently to all inquiries and routine requests for information escalating enquiries as necessary, to ensure the provision of accurate information. • Update records and databases, complying with records management processes, to ensure information is accurate and is stored correctly and accessibly. • Requesting court depositions and records in a timely manner. • Generate routine correspondence with a view to exchanging factual information whilst exercising discretion and judgement at all times, seeking supervisory direction as necessary. • Participate in taking meeting minutes and provide a strong level of support, follow-up on actions as necessary whilst keeping all participants informed. • Provide quality administrative services to support the effective operation of the Community Corrections office. To be successful for this role, you will always display integrity, and be a true team player with excellent communication and organisational skills. You will always maintain confidentiality whilst utilising your proven experience to meet the demands of this role effectively. The ability to learn and grow in the role will be important in terms of understanding the role. As part of the team at Silverwater Parole Unit located on the Silverwater Complex, you will be subject to Correctional Centre Policy and Procedures (including no mobile phones, smart watches, biometric entry/exit, random drug and alcohol testing, dress code and restrictions on items being bought into the centre). About Us Silverwater Parole Unit is a large Community Corrections office within the Metropolitan West District, it oversees the releases of inmates over four correctional centres and one transitional centre. There are Community Corrections Officers (CCOs) at two of the five centres. These centres vary in levels of security and type of inmates housed. Want more information?
