Job Description Expression of Interest (EOI) Applications are invited from suitably qualified and experienced candidates for this ongoing position of Childcare Administration Officer within our MACSEYE team based at our Head Office in East Melbourne. As a startup, MACSEYE is building its team of passionate staff to deliver the vision of the organisation. As an experienced Childcare Administration Officer (preferably in OSHC and Early Years Education), you will provide a high standard of administration support across your designated region to support the Services, children and Families. Ensuring that your contribution reflects a positive image of our service as an integral part of the local schools and communities. We are seeking someone with experience providing quality customer service with professionalism and efficiency while also providing administrative support to children, families, schools and parishes in their designated region. This role is full-time, with flexible hour and hybrid working conditions. About the Role: Support families and Services with enrolment enquiries, Child Care Subsidy requirements, fee payment and financial adjustments in an accurate and timely manner. Assist with the processing and administration of debtors through established processes and in line with organisation business decisions ensuring that sound financial management service is provided. Assist with financial administration including coding, processing of payments, filing and Service budget preparation, where applicable. Ensure that administrative processes and records for employee onboarding and offboarding are maintained as per applicable legislation. Support various administrative functions including CCS funding, grant acquittals, document preparation and correspondence. Contribute to continuous improvement processes for the Services team and collaborate with service leaders on quality improvement in relation to administration, enrolments/induction, waitlists and fee payment/collection. About you: To be successful you will have experience working in a similar role within a fast paced and complex environment. Crucial to your success will be your proven track record as a team player, your adaptability, your ability to develop rapport and positive working relationships with key stakeholders, your attention to detail and your ability to maintain confidentiality. With exceptional organisational and time management skills, you will have the ability to prioritise multiple tasks without compromising on quality or efficiency. You will have excellent written and verbal communication skills enabling you to interact with clients and internal team members effectively, all while maintaining a positive and professional demeanor. Certificate or Diploma qualifications in business administration highly desirable Experience working in an administrative role in childcare or OSHC services essential Applied knowledge of relevant CCMS software (Xplor) or the capacity to rapidly acquire such knowledge. Highly developed computer literacy to accurately analyse, prepare and present data using a range of Microsoft Office, marketing material and social media.
