In this role, you will be responsible for managing all facilities and office services nationally, with a primary focus on our Sydney campuses and Head Office. Your duties will include providing senior administrative support to all Kaplan staff, including Management and Leadership teams, Executives, and the Property and Facilities Manager. Additionally, you will oversee the management of the KA Reception, Administration, and Facilities teams located in Clarence Street, Sydney, and Melbourne. Responsibilities Contractor Management: Coordinate, review, and reconcile all contractor works to support maintenance and operation Administrative Oversight: Provide comprehensive administration, asset management, financial management, and legal compliance Building Liaison: Communicate with building management and landlords regarding facility issues Compliance Management: Review and manage compliance documentation related to property management Communication Coordination: Coordinate communications and service inquiries across campuses to keep stakeholders informed of developments and maintenance activities Stakeholder Relationship Building: Develop strong working relationships with key stakeholders Record Keeping: Ensure the retention and organisation of all reports, files, folders, and contracts Project Management: Manage asset transitions, mobilisation, and operational readiness planning Facilities Expansion Support: Assist with campus expansion, refurbishments, and project workload across all campuses Administrative Support: Manage office security systems, HR notifications, desk allocations, and travel portfolios Requirements 5- 10 years of previous experience in facilities management, including managing teams and suppliers. (essential) Leadership - experience in managing a small team (essential) Contract procurement and management, with on-site contractor management Strong negotiation skills and a commercial mindset Proven experience driving a team to achieve positive results and continuous improvement Proficient in financial reporting and analysis Strong stakeholder management experience, including exceptional ability to engage and manage stakeholders effectively to achieve project goals Excellent written and verbal communication skills Organisation and time management skills Ideally have Tertiary qualifications in facilities management or administrative/business management disciplines (desirable) Experience in booking travel ( desirable) About Us Kaplan Australia is one of the world's leading providers of lifelong education, helping over one million students around the globe achieve their educational and career goals each year.
