This is a highly adaptive and flexible role which encompasses a range of skills and service needs including clerical and administrative support Our client is known as one of the largest rail asset management companies across Australia, New Zealand, the Middle East , North America, and the United Kingdom. They are diverse in all areas on rail management from civil engineering, electrical and power supply engineers, risk analytics through to rail telecommunication and timetabling specialists. They are looking for an Office Administrator for a term of 6 months with a view to extend. Responsibilities include: Team Support Manage the team's domestic and international travel and hotel arrangements in line with NRC's travel & expenses policy and agree arrangements with the appropriate Australia team members. Make arrangements for training, conferences and meetings (including preparation of agenda/minutes/attendance records if requested) as directed by Australia team members. Onboarding all new starters, setting up in systems, equipment and inductions. Manage the collection and reporting of hours worked by the project teams to aid in management of fatigue and workload. From time to time, it may be necessary to undertake Billable Tasks to assist during times of peak workload. Act as support for IT issues. Co-ordinate the resolution of team problems regarding IT and office facilities (including arrangement of repairs and maintenance as necessary), minimising the impact on team productivity. Provide a consistent telephone presence on behalf of the team delivering excellent customer service levels. Provide communications to the team, including sending messages as required. Undertake general office administration duties including control of all mail and courier, greet guests, undertake safety briefing to all visitors and provide refreshments to visitors. Ordering of stationery, consumables, business cards, specialist printing, etc. Job skills, Experience and Qualifications Essential Excellent MS Office skills and good general IT skills at the administrator level. Excellent organisation, communications, and time management skills. Customer focused (internal and external); Pro-active and willingness to work. Ability to multi-task. Ability to build relationships with people at all levels. Excellent telephone manner. Ability to work independently; and ability to work under pressure.
