JOB ID: 1686 ADMINISTRATIVE ASSISTANT - 3-5 DAYS RICHMOND LOCATION TEAM ENVIRONMENT CAR SPACE PROVIDED An outstanding opportunity for an experienced Administration Assistant to join a well-established and very busy ENT practice located in Richmond. The Group is a dynamic and innovative ENT specialist and sub-specialist practice, applying the world's best evidence and state-of-the-art techniques in the care of their patients. You will provide administrative support to the PAs, ENT Surgeons, and management team to facilitate total patient health care. The Administrative Assistant is the frontline contact in the practice. The position is offered on a part-time or full-time basis negotiable. If you have solid experience working within a surgical practice and will embrace the responsibilities and autonomy offered in the role, this could be the opportunity you have been waiting for You will be rewarded with exceptional job satisfaction within a friendly and professional workplace, that offers excellent remuneration and your own car space The principal responsibilities of the role will include: Diary management for multiple surgeons via an electronic diary Respond appropriately to high-volume patient telephone and email enquiries with professionalism and courtesy, while adhering to practice protocols Respond appropriately to patient requests and questions to ensure you provide accurate information. Provide accurate and appropriate information to patients in relation to expected costs and length of consultations, along with relevant paperwork Provide information to patients as directed if delays in schedules Billing patients after medical consultations including using the EFTPOS machine Ensure incoming administrative work - including referrals, registrations, results are scanned, and details entered with meticulous attention to detail & marked for the relevant PA/surgeon's attention Ensure medical records are up to date & stored securely Setting up of consult rooms, including ultrasonic cleaning of instruments Appropriate & timely communication with management regarding stock levels Attend staff meetings and participate in professional development activities Essential Criteria: Computer literate and use of Genie or similar software ideal Experience in data input and maintaining databases Exercise confidentiality regarding patient care & all aspects of the business Understanding of and focus on customer service for a wide range of stakeholders Demonstrate a high level of verbal and written communication skills Meticulous attention to detail Good organisational skills and the ability to prioritise workload & competing interests appropriately Ability to be self-direct and work efficiently with minimal supervision as required Ability to work as a part of a team with demonstrated experience in high-volume situations Ability to remain calm and courteous under pressure A generous salary will be negotiated.
