Position Summary: Alzheimer's WA is seeking an Administration Officer based in Subiaco. This role reports to the Executive Officer and is responsible for the professional and efficient functioning of the reception area and for providing office administrative support. This position plays a key role as it presents the first impression of Alzheimer's WA to visitors, phone callers, and customers. It involves customer liaison, reception/switchboard duties, and general administration. Duties of this position include, but are not limited to: Opening the reception, including the switchover of phones. Operating the switchboard and directing calls efficiently and promptly. Receiving and forwarding messages to staff in a timely manner. Providing telephone support to the client's service team. Creating and maintaining a warm, welcoming environment for all. Greeting visitors at reception and assisting with their enquiries, either directly or by contacting the appropriate department or person. Receiving and dispersing Alzheimer's WA's deliveries, mail, and other items. Maintaining records of mail-out quantities and costs per department. Assisting with raising purchase orders. Ensuring that photocopiers have adequate paper and ink stocks and are operating efficiently. Keeping the reception area and meeting rooms tidy and in good order. Assisting in maintaining client and staff databases and files. Keeping the office neat and tidy. Checking office supplies and processing stationery and other office consumables. Reporting any faulty equipment or necessary repairs to the asset manager. Issuing and receiving pool vehicle keys. Participating in and assisting with the coordination of the organisation's events and activities where practicable. Performing other duties as directed by the executive officer or other senior members of staff. Essential Criteria: Relevant experience in administration/reception. Reception/telephone experience with excellent verbal and written communication skills. Excellent interpersonal and communication skills, including the ability to present and manage stakeholder relationships. Exceptional time management and organisational skills, with the ability to meet strict deadlines. Intermediate knowledge of Microsoft 365 applications and desktop publishing. Ability to prioritise, monitor, and coordinate personal workloads to meet varying deadlines. WA 'C' class driver's licence. NDIS Worker Screening Check. COVID-19 Vaccination (three doses). Desirable Criteria: Previous experience in the health and aged care industry.
