SUMMARY The Office Administrator will manage, organize, and coordinate all office activities and administration in order to ensure organizational effectiveness, efficiency, and safety. The Office Administrator also plays a key role in providing administrative support to leadership. This role requires an energetic professional who enjoys wearing multiple hats, collaborating and communicating with different internal and external stakeholders, and who can work independently with little supervision. They should be well organized, adaptable, and enjoy the administrative challenges of supporting teams of diverse people. This role is fully in office, Monday - Friday from 9 am-5 pm at our Newcastle location. A valid driver's license is required. Please note: This role requires full working rights in Australia, without current or future sponsorship. Proof of this is required to be produced during the final stages of the selection process. ESSENTIAL DUTIES AND RESPONSIBILITIES: Oversee and support administrative duties in the office to ensure the office is running smoothly Perform receptionist duties including greeting clients and contractors and receiving deliveries Lead the planning, organizing, communication, and implementation of office and community events Provide leadership administrative support which may include scheduling, making bookings, placing and picking up orders, packing and shipping items, creating templates, preparing presentations, collecting data, and sending out communications Manage the inventory of office supplies, merchandise, and food and placing orders as needed Maintaining office, lunchroom, and meeting room cleanliness and brand standards Receive and sort incoming mail and deliveries Coordinate with multiple departments, employees, and managers on different administrative tasks Support Human Resources activities including onboarding processes, tracking and following up the completion of mandatory employee training, creating and filing documents, and other tasks as needed Assisting in maintaining a safe workplace, including ensuring the office meets the standard of regulatory requirements and that sufficient internal processes and policies are in place and followed Responsible for communicating with office vendors and with the property management team for any service and maintenance requests Monitoring a facilities budget and ensuring purchases are within budget Assist with office layout planning and office moves Other duties as assigned Regular and Predictive Attendance EDUCATION, TRAINING AND EXPERIENCE: 2-4 years of office administration experience or equivalent experience Certificate, diploma, or bachelor's degree in business administration desirable Previous experience with work health and safety requirements desirable First Aid and CPR Certificate desirable Proven office management, administrative, or assistant experience Strong computer skills with proficiency in Microsoft Office Suite Excellent written and verbal communication skills Excellent time management skills and ability to multi-task and prioritize work Strong attention to detail and excellent organizational skills High level of initiative, leadership, and problem-solving skills Understands the legal and ethical considerations related to handling confidential information professionally Valid drivers' license
