6 month contract with a view to extend|Based in South Sydney Experience in managing diary & correspondence for the Chief Information and Digital Officer AU Citizens only due to security clearance| Onsite parking Our client is looking for Administration Lead who will act as the first point of contact for Chief Information and Digital Officer. Key Responsibilities: Manage diary and correspondence for the Chief Information and Digital Officer including negotiating timelines and appointments, preparing meeting packs and dissemination of meeting materials. Act as the first point of contact for Chief Information and Digital Officer, screening emails and managing communication flow and delegation, dealing promptly with enquiries and resolving complex matters which may be sensitive and confidential. Support the IT Senior Leadership team with diary management, meeting coordination and minute taking. Prepare and edit correspondence, reports and presentations with attention to detail and professionalism. Prepare, implement, and manage Information Technology internal communications, including management of a variety of communications activities, in line with company's strategy. Proactively communicate and monitor communications via IT Teams Site ensuring dissemination of key information for all Information Technology staff. Administer project, capex and operational budgets to ensure budgets are tracking in accordance with forecasts, collaborating with Finance and Procurement department to ensure compliance. Provide analysis of financial reports and interpret financial data to develop reports and briefs to meet critical deadlines; Responsible for coordinating Office of Chief Information and Digital Officer internal and external events, including quarterly IT Staff Forum; preparing agendas, presentations, guest speakers, resources, equipment, and catering. Manage accounting, purchasing, and other activities including process of invoices, purchase orders, expense claims, stationery ordering and arranging general office and equipment repairs and maintenance for the Information Technology group. Manage travel and accommodation requirements for Information Technology group. Excellent decision-making skills with the ability to assess multiple options and identify the best choice to serve a specified goal. Key Skills required: Experience in managing diary and correspondence for the executive team including negotiating timelines, appointments and preparing meeting packs Experience in screening emails and managing communication flow and delegation, dealing promptly with enquiries and resolving complex matters Experience in meeting coordination and minute taking Strong interpersonal and relationship building skills Extensive calendar management and meeting arrangement experience with both internal and external stakeholders Experience in participation in meetings, coordinating agendas and taking meeting minutes, following up on actions for regular meetings Arranging travel bookings when required Inbox and task management for the Executive Team Please Note: All resumes MUST be submitted in Word format.
