Sales and Administration Coordinator — Mascot, Rockdale Area

Role Description: The Sales & Administration Coordinator is a crucial role based in our client's Sydney head office located in Mascot. Reporting directly to the Senior Account Manager, this full-time position requires a well-organised and enthusiastic individual capable of handling a wide range of tasks. The role focuses on providing administrative support and ensuring seamless operations within the sales and account management teams, especially during the peak periods in the events and exhibition industry. Key Responsibilities: Client Interaction: Serve as the primary point of contact for client inquiries, managing incoming calls, emails, and web contact forms to ensure a positive customer experience. Order Processing: Efficiently process customer orders, assemble and send client quotes, and ensure all approval paperwork, workflows, and customer contracts are completed accurately and promptly. Showroom Assistance: Provide support in the showroom as needed, assisting with the presentation of products and services to clients. Database Maintenance: Maintain and update the client database, ensuring that all information is accurate and up to date. Product Knowledge: Acquire a thorough understanding of the company's product range and services to assist clients effectively and provide informed recommendations. Internal Coordination: Liaise with internal departments such as logistics and production to ensure projects are on track for delivery and proactively resolve any issues that may arise. Administrative Support: Offer comprehensive administrative support to the sales team, managing multiple inquiries and orders simultaneously, especially during busy periods. Key Requirements: Experience: 2-4 years of practical experience in a similar role, preferably within a sales environment where customer service and order processing were integral. Technical Skills: Proficiency in Microsoft Office programs and comfort with technology, as the role involves working with various systems and potentially updating stock quantities on the company’s website. Organizational Skills: Highly organised with exceptional administrative skills and the ability to manage multiple tasks and priorities without becoming overwhelmed. Attention to Detail: A meticulous approach to work, ensuring accuracy in all aspects from order processing to documentation. Interpersonal Skills: A team player with strong interpersonal skills who can interact well with different personalities across various teams. The role requires someone proactive and slightly more extroverted who can effectively communicate with colleagues and clients.
