Team Assistant to the CEO's Office Summary of Responsibilities: We are seeking a dynamic and proactive Team Assistant to join the CEO's office on a part time basis in our prestigious banking and financial institution. This role plays a pivotal part in ensuring the smooth operation of the CEO's office and supporting senior management. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to handle a wide range of administrative duties with professionalism and efficiency. Principal Responsibilities: Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements. Prepare agendas, presentations, and briefing materials for meetings. Handle correspondence and prioritize incoming communications. Maintain confidentiality and handle sensitive information with discretion. Coordinate logistics for executive meetings, including room bookings, catering, and technology setup. Prepare and distribute minutes and action points from meetings as required. Invoices (creating purchase orders, sign offs, vendor request and updating system). Assist in organizing company events and functions involving the CEO's office. Support special projects and initiatives led by the CEO's office, including research, data gathering, and reporting. Coordinate with other departments and executive assistants to facilitate cross-functional projects. Work closely with the EA of the CEO to ensure seamless operations and coverage. Provide backup support to other executives' assistants as needed. Dimensions: (Provide quantitative indicators on which the job has impact, e.g., earnings, revenue, budget, etc.) Assisting the Executive Assistant to the CEO Knowledge/Skills/Competencies Required: Proven experience as an administrative assistant, team assistant, or similar role, preferably in the banking or financial industry. Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software. Strong organisational and time-management skills, with the ability to prioritise tasks independently. Excellent verbal and written communication skills. Attention to detail and problem-solving skills. Ability to handle confidential information with discretion.
