About the Role We currently have an opportunity available for an experienced Receptionist to join our team based at our Flinders Gate office in Melbourne, VIC. Reporting into the Office Manager, you'll be responsible for providing administrative support across the office and providing a high level of customer service to all clients and visitors. Responsibilities of the role include: Act as the first point of contact by greeting, welcoming, direct and announcing visitors Efficiently answer, screen and forward any incoming phone calls whilst providing generalist information when required Maintain security by following procedures and controlling access to the building, e.g. issuing visitor badges and following visitor sign in procedures Provide customer service to the client, external vendors, subcontractors, and community stakeholders Perform administration tasks such as filing, coping, mail and collating information Sorting, distributing and lodging mail requests for the office Organising catering for office meetings as required Provide administrative support across the office which may include; arranging and attending meetings, taking and distributing minutes, and making travel and accommodation arrangements if required Organise the office processes, workspace office supplies and equipment Other adhoc duties as required To be successful: To succeed in this role, you will be customer service driven, you'll demonstrate a proactive outlook and initiative and have the ability to work without close supervision. Your strong time management skills and efficiency will allow you to prioritise your workload efficiently to ensure you meet all deadlines. A minimum of 2 years' experience in an office environment in a similar role Organisational skills and the ability to work within challenging time frames Skills in dealing with paper and electronic files, managing email and creating an effective workspace Skills in resolving issues and overcoming obstacles that may arise Knowledge of document management procedures and processes Use of basic functions of word processing, spread sheet and email software What's in it for you when you join John Holland?
